Dataset Builder & Pre-Built System Datasets

Some users will have access to procurement data from other organisations as well as their own organisation. Within the Observatory there is the capability for users to define their own datasets, based on the data that they have access to. This is the primary mechanism for users to create reports including data across all the organisations they have access to. In addition to the dataset builder, which allows users to custom build datasets, some system defined datasets are available to users, via the Dataset functionality at the bottom right of each report in the Observatory.

Build Your Own Datasets

This user guide will demonstrate how to build datasets in the Observatory.

Pre-Built System Datasets

The pre-built system datasets, shown in red in the Observatory, are defined below.

Dataset Description Country
All Datasets Returns data for all accounts that the user has access to, within the constraints of other filters applied to the report including the timeline slider. UK & US Customers
Central & Civil Government (CG) Returns data for all accounts of the buying entity type ‘Central & Civil Government’ that the user has access to, within the constraints of other filters applied to the report including the timeline slider. UK Only
Education Returns data for all accounts of the buying entity type ‘Education’ that the user has access to, within the constraints of other filters applied to the report including the timeline slider. UK Only
Local Government Returns data for all accounts of the buying entity type ‘Local Government’ that the user has access to, within the constraints of other filters applied to the report including the timeline slider. UK Only
National Health Service Returns data for all accounts of the buying entity type ‘National Health Service’ that the user has access to, within the constraints of other filters applied to the report including the timeline slider. UK Only

Important Note

Organisations have the ability to override supplier classifications for viewing within their own organisation. If you are using the dataset builder or pre-built system datasets, to view other organisations data, you will see any overrides that organisation has applied.

For example, Supplier X is used by Organisation A and Organisation B. Supplier X has a Global vCode classification of 'Coach & Mini Bus Hire Companies'. Organisation A overrides the classification to be 'Taxis & Private Hire Companies'. Organisation B will see Supplier X as a 'Coach & Mini Bus Hire Company' when viewing their own data, but when viewing the data for Organisation A, they will see it as a 'Taxis & Private Hire Company'. Likewise, when Organisation A is viewing the data for Organisation B, they will see Supplier X as a 'Coach & Mini Bus Hire Company'.

When viewing the data for both organisations at the same time, the spend by Organisation A will appear against the 'Taxis & Private Hire Companies' category and spend by Organisation B will appear against 'Coach & Mini Bus Hire Companies' category.
